Frequently Asked Questions

1. When will you discontinue Synergy?

Synergy will continue to be supported with patch releases to address any major issues.  New feature requests will be deferred to Harmony.

2. Will EyeRoute stop working once you discontinue it, or will we just go without support?

EyeRoute will continue to work, but without any support.

3. How do we know you won’t discontinue Harmony in five years as well?

Harmony is based on the Software as a Service model.  New versions will come out every few months with major release timed for every year or so.  You are entitled to these upgrades with your Harmony subscription.

4. How much will it cost me to upgrade to Harmony?

There is no upfront charge to upgrade to Harmony if you migrate to our cloud option.  The first-year subscription cost will match your current annual maintenance.  Then you will be transitioned to our regular subscription pricing after the first year.

5. Do I need to buy new hardware?

Harmony is a cloud-based data management solution.  We will provide a small mini-PC to place in your office to help collect the data and encrypt it before sending up into the cloud.  You can also choose to use Harmony as an on-premise LAN configuration. You will need to provide sufficient server hardware to run the application.

6. Does the new subscription pricing include historical data conversion?

All existing data in Synergy will be migrated to Harmony.

7. How much is advanced EMR integration (orders and worklist)?

8. Can I have a demo environment or a test environment?

A demo or test environment is typically as an optional purchase.  The additional purchase entitles you to a test environment separate from your main production environment.

9. Who will install the system?

Topcon will remotely install the system.  All you have to do is plug the mini-PC into your office network when you receive it.  Once the remote installation/configuration is done, we will come on-site to verify the installation and provide training.

10. What is the Harmony Installation Process?

Step 1. Kickoff call is scheduled after quote signature to set expectations and schedule training

Step 2. Necessary hardware is shipped to location

Step 3. Time is scheduled with lead technician to connect to devices remotely and install virtual printer software then test connections

Step 4. Clinical Specialist trains staff on-site (takes approximately 1 hour, but CS will stay full day to ensure staff is comfortable)

11. Who owns my data?

You retain full ownership of any data uploaded to Harmony. Topcon only retains a copy of your original device data while you are using the service.

12. What happens to my data if relationship with Topcon ends?

The customer is responsible for providing a PC or server with adequate storage to hold all of the data. Once this has been identified, the entire folder structure is moved there along with the SQL database.  Another option is the DICOM migration utility which will perform a mass export of all images and reports as OP DICOM files.  This will not include OCTs (OPT DICOM).

Harmony only takes a copy of your devices data.  The original data still resides on the device. If you are trading in your device, we recommend that you make a backup of your data to a review computer or hard drive.  Upon cancellation, you will still have access to your original data on the original device or on the review computer with the associated software.  Should you want a copy of your data stored in Harmony, we can do a mass DICOM export of all of the images and reports.

13. How do you connect to non-DICOM devices?

This depends on the device, but the image is usually exported to a folder location, the patient demographics are extracted from the file, and then sent together with the image into Harmony.

14. How do you connect to devices that cannot access the internet?

As long as the device can save images on a network drive, images can be uploaded manually to Harmony. If the device has no network adapter port, we will provide a tablet and adapter cable that will transmit printer files to the local Capture Station Gateway PC. The Capture Station Gateway PC will process, encrypt and send the data to Harmony in the cloud.

15. How is Harmony accessed through the patient’s EMR chart?

Harmony is accessed via weblink, which can be a separate button inside the patient’s chart or hidden behind any existing button they are currently using to access images. We provide the vendor instructions for using weblink with EMR template. It will be encrypted and embedded with the patient ID which takes user directly from chart to patient in Harmony, automatically logging them in.

16. Can images show up in the patient’s chart in addition to Harmony?

Yes, although this is not recommended as it is duplicating the image data. Images can be pushed by Harmony to the EMR, but the EMR must be able to receive and determine where to store that data.

17. How does Harmony obtain its patient data?

Harmony interfaces with the customers practice management system and obtains the patient master list via HL7 ADT message.

18. How does the modality worklist operate?

An order is placed in EMR which communicates to Harmony via HL7 ORM message, patient demographic data is pushed to the device via DICOM MWL, then the results are transmitted to Harmony via DICOM, then Harmony sends the result back to EMR via HL7 ORU message. Assists with meaningful use stage 2: Orders and Results.

19. If I am using Harmony in the cloud and Topcon’s servers are hacked, can they access my patient records in the EMR?

No, we take an “arm’s length” approach to EMR so Harmony never has direct access to it. Harmony is accessed from the EMR via weblink, but there is no backward call to EMR.

20. What happens to my current EMR link to Synergy?

The existing Synergy EMR link will need to be updated with the new format for Harmony.  We will provide documentation to the EMR vendor for the new link format.

21. How much internet bandwidth is required for the customer to run Harmony?

At least 5MB of bandwidth upload and download (can be tested by going to speedtest.net), no T1 line or VPN required. Note: this could be different from Forum because it takes the OCT’s database off the machine and places it on the LAN server, so a lot of bandwidth is required to pull images back and forth.

22. When are an application server and CSG required?

If you chose not to use Harmony in the cloud, the customer is responsible for providing the application server with sufficient storage.  Topcon will still provide the CSG (mini PC) to help with device integration.

23. Can you manually export images from Harmony and what format are they saved as?

Yes, when you export a single image you can choose from JPG or original format.  If you select multiple images for export, they are exported as JPG in a zip file.
